Club Calendar Guide

How to gain access to the calendar

To use the calendar, members must have a Google account (instructions on how to create an account below). A Google account is free, and is used as a login for the calendar.

Send an email to the club committee stating your Google account email address, and this will be manually added to the calendar access privileges list. You will be notified via email once access is granted, and you must click the link in the email to 'accept' the calendar.

Subject: Joe, recommends that you use Google Calendar

I have been using Google Calendar to organise my calendar, find interesting events and share my schedule with friends and family members. I thought you might like to use Google Calendar, too. recommends that you use Google Calendar.
To accept this invitation and register for an account, please visit:
Google Calendar helps you keep track of everything going on in your life and those of the important people around you and also help you discover interesting things to do with your time.

Editing the calendar (registering your attendance)

To use the calendar, log in to with your Google account. You will see the club calendar listed on the left.

Edit a club session, inserting your name (e.g. Joe B) in the relevant section, whether you are Attending, Maybe, or Not Attending. If you are attending, add one to the count in the session title so other members can see at a glance how many people are attending. Even if you are not attending, do add your name to the Not Attending section so that other members know that you've responded for that session. Once you've finished, click the red Save button, and choose to apply your changes to "Only this event".

Remember the calendar is public, so do not add personal details, contact information, or other details that you would not want to share.

Viewing the calendar

For a simple "at a glance" view of the calendar, visit the club website and click the calendar page. This page is for viewing only, and edits cannot be made.

Syncing on your computer or mobile

It is possible to sync the club calendar to the native calendar of your own computer or mobile device (e.g. Apple Calendar), but THIS IS NOT RECOMMENDED, as this can cause problems with duplicate or deleted entries. Please use the calendar only via or via the Google Calendar mobile app (see below).

Google Calendar mobile app

There is a dedicated Google Calendar app available for free via the App Store of your device (iOS and Android). Once you sign in to the app via your Google account, you will be able to view and edit the club calendar directly without having to use a web browser.

Creating a Google account

If you don't have one, go to, click "Sign in" and follow the instructions to create a free account, by clicking the "Create account" link under the sign-in box. There is an option to create a account, or you can also choose to use your own email address.

If you create a account, you will actually create a new Google email account, and your calendar confirmation will go to this new address, so check for this at There is a setting within gmail to allow you to receive Google mail to your own email address, but that is beyond the scope of this guide - check the gmail help pages on the correct settings for this.

Further, this guide does not cover using your own email address for a Google account, but in theory, you can create a Google account using your own email address, and then you can sign into Google services (and thus the club calendar) using your own email address (with the confirmation emails also appearing at your own email address).
